This is a full-time (1.0 FTE) position. Schedule will be Monday through Friday. Salary will be $18.84 to $25.25/hour.This position is located on the Marquam Hill campus.
Functions/Duties of Position
Responsible for coordination of all surgical and non-surgical anesthesia cases in 45 operating rooms (OR) and 13 Out of OR (OOR) sites. Responsible for all the scheduling, rescheduling and canceling of surgical and non-surgical cases in and out of OR. Oversee the PSS to ensure that all surgical information received is accurate. All Op Time surgical case submissions are reviewed and errors or missing information is requested from the PSS prior to scheduling a surgical case. Accurately place all OR and OOR cases in the correct case order on a daily basis, making sure that all JACHO requirements for a doctor operating in multiple sites are met. Facilitate all requests for additional OR time and/or special equipment or room requests by providers. Proof the 7, 3 and 2 day Draft schedule for spelling errors, accurate procedure descriptions (including laterality and body site), appropriate room placement & pick list selection; supply/equipment conflicts, age requirements and any other special needs that might need to be communicated with other providers/departments. Follow-up is done to clear up any discrepancies or missing information with the PSS (Practice Surgery Scheduler) or department Scheduler (for OOR). In addition to the aforementioned, the Final schedule is reviewed for accurate anesthesia assignments. Errors/conflicts are researched with the anesthesia coordinator or Nurse Manager to find a solution to any problems. Distribute the Draft & Final OR schedules to the OHSU Network, Main OR sites and Surgeon Distribution list via Email.
Job Requirements
REQUIRED:
Two years of front-line clerical experience in a clinical setting with direct patient contact.
Experience must include scheduling of appointments and obtaining managed care authorizations.
Preference given to candidates with knowledge of OHSU's PAS policies and procedures, with completed PAS training and core competencies, and with previous PAS experience.
Medical Terminology
Basic computer skills including word processing.
Windows applications and a preference for data-base skills.
Excellent verbal and written communication skills.
Strong customer service orientation.
Demonstrated effectiveness in confrontational customer interactions
PREFERRED:
Six years of General office or Secretarial experience. 3 years of previous surgery scheduling experience.
1 year OP time experience
Bachelor's Degree or Additional Experience
Associates or Bachelor's degree or certificate in office occupations or office technology and 2 years of general office or secretarial experience.
An equivalent combination of training and experience
Basic medical terminology skills.
2 year or more of experience in scheduling surgical cases (OR or Dr. Office).
Knowledge of Epic Cadence , Optime and Patient Station (including understanding of account statuses) IMPAX/QDoc scheduling, Ability to access and run reports; Microsoft Outlook
