The Front Desk Coordinator is responsible for greeting visitors at the front desk, provides administrative support to multiple departments, and oversees supply inventory in a small office environment. This is the first perception for the office.
Key Responsibilities
Responsible for greeting all visitors, answering & directing incoming phone calls, and providing administrative support for the office including:
Picking up and delivering daily mail, overnight mail, FedEx preparation, courier arrangements, preparing packages for mailing use discretion in selecting the most costeffective but timely service
Communicate with copier vendors and internal IT to ensure copiers functionality , ordering of toners
Mailing projects, both inhouse and outsourced (pulling lists, research & update mailing lists, merge letters, printing letters/labels, posting, etc.)
Take initiative to offer assistance to others whenever possible (flyer creation, binding tour books)
Break Room and lobby cleanup & maintenance
Conference Room calendars and maintenance
Monitor and submit office and kitchen supply orders
Manage parking validations
Listing Coordinator: managing Current Listings to be better equipped to field inquiring calls; potential to post all properties to websites
Backup Accounts Payable / Receivable: provide relief to AP Coordinator, allows for better tracking of office supply needs
Backup Deal Tracking System: provide relief to DTS Coordinator
Backup Research: data entry for comps database
Assist with conducting research to support the selling efforts of assigned brokers
Word processing for correspondence, agreements and reports
Proof reading
Copying / scanning / faxing
Pull and label aerials (Google Earth Pro)
Other duties as assigned; assistance to Portland office as time allows
Requirements
The successful candidate will possess the following required degrees, certificates or competencies:
Must have high level of interpersonal skills to handle a variety of situations. Position requires demonstrated poise, tact and diplomacy with brokers and clients.

Must adhere to company policies and procedures, takes responsibility for actions.
Must be able to interact and communicate with individuals at all levels of the organization.
Dedicated to meeting the expectations and requirements of internal and external customers; seeks customer information and uses it for improvements in products and services; acts with customer in mind; establishes and maintains effective relationships with customers and gains their trust and respect.
Must have knowledge of a variety of computer software applications in word processing, spreadsheets, and (MS Office products).
Graphic Design software exposure helpful but not required (Adobe Create Suite, InDesign).
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to sit at the front desk for long periods of time during the day, work in a fastpaced environment with demonstrated ability to juggle multiple competing tasks and demands professionally.
Strong time management skills. Adhere to hours of operation, break and lunch hours to cause least disruption to team.
SelfStarter. Will be positioned at the front desk, separated from the rest of the team.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
